PPG: Meeting Minutes 24th April 2024

Welcome & Apologies: (MW)
MW welcomed all to the meeting. Apologies were received from Louise Regan, Fran Wilson and Ingrid Babcock.
Approval of Minutes of the last meeting
The previous meeting minutes for the minutes of the February 21st, 2024, meeting was discussed and agreed.
Practice Report
- Phone data: our percentage of answered calls for March was lower than our prior months , we had high holiday request in the month. We are working with staff to spread out their leave and we are limiting the number of staff that can be off on a given day, so as not to affect capacity. We are currently managing call volume a lot better this month. We have also made some changes to the phone menu, to ensure patients pick the right option. April is looking much better, in terms of the calls been answered.
- Staffing: An advert will be placed for Salaried GP’s post, we are advertising for 2 salaried GP’s, we have placed an advert for receptionist staff as well.
- QOF Targets: We are doing very well with our QOF target, this requires teamwork, we send out invites to patient for annual reviews, medication reviews, diabetic reviews, asthma reviews etc. Our performance so far is the best I have seen since I have been with the surgery. These are some of the key performances indicators that NHSE & CQC look at.
- Premises. I have no update concerning the premises, I know that the senior managers are working behind the scenes to ensure that the building work commences. Once I have more information I will share it with the group.
Patient Survey
We would be conducting a patient survey via our web site. The surveys will not be as lengthy as the national surveys. Most of our patients do not complete the national surveys because of the number of questions, which are usual about 50 questions or more. With less patients completing the national surveys, it does not provide us with the percentage we need for a good survey result. We felt that conducting our own patient surveys would give us a better idea of what our patients feel about the service we provide. Our Survey has 7 questions.
ARRS
Some of the PPG members had asked about what ARRS ( Additional Roles Reimbursement Scheme) staff we have in the practice. The ARRS brings specialist skills directly into practices along with general clinical knowledge and skills that can add capacity to practice GP and nursing team. In the practice we have PA’s who are Physician Associates, Social Prescribers which is Christine whom most of you know, we have MSK FCP (Musculoskeletal First Contact Practitioners) who provide immediate access to physiotherapy, which helps reduce GP workload as well as health service cost and they have increased time allotted for consultations.
We also have a Care Coordinator who provided enhanced communication, helps with care plan management, and our CP’s (Clinical Pharmacist) who see patients with single or multiple medical problems where medicine optimisation is required, such as patients with diabetes, respiratory or cardiovascular problems. They undertake clinical medical reviews with patients and produce a recommendation for nurses, GPs on prescribing and monitoring.

It was agreed that our last PPG meeting, that we would have a face to face, meeting as some of the PPG members had requested for one at the March meeting.
